The HoloGrail SG Pte Ltd · Last updated: 5 August 2026
1. Introduction and Acceptance
These Terms & Conditions (“Terms“) govern the provision of event photo booth and related services by The HoloGrail SG Pte Ltd (UEN: 202409635K) (“we“, “us“, “the Company“) to any individual or organisation that books our services (“Client“, “you“), as well as your use of our website at www.theholograil.com.
By accepting our quotation, making a booking with us, paying the booking fee, or using our website, you agree to be bound by these Terms. This document, together with your quotation/Booking Confirmation, constitutes the entire agreement between you and us. If you do not agree, please do not engage our Services or use our website.
Our collection and use of personal data is governed by our Privacy Policy, which forms part of these Terms by reference.
2. Definitions
- “Services” means the photo booth, roaming photography, and related services provided by us, as described in the applicable quotation or Booking Confirmation.
- “Event” means the function, party, or occasion at which the Services are provided.
- “Booking Confirmation” means the written confirmation (including by email) of the Services booked, the Event details, and the fees payable.
- “Guests” means individuals who attend the Event and use or are photographed by the Services.
3. Our Services
We provide event photo booth services, which may include (as specified in your Booking Confirmation): open-format photo booths, GIF/boomerang booths, 360-degree video booths, roaming photography, instant printing, digital galleries, and props/backdrops. The exact scope, duration, inclusions, and add-ons for your Event will be set out in your Booking Confirmation.
4. Booking and Event Details
- A booking is only confirmed once (a) you have received a Booking Confirmation or quotation from us, and (b) we have received the required booking fee in accordance with Section 5.
- The Client agrees to provide accurate Event details, including date, time, and venue address, to ensure the proper setup and execution of the Services. Changes to Event details are subject to our availability and may incur additional charges.
5. Booking Fee and Payment
- A non-refundable booking fee of 50% of the total package fee is required to secure the date and time of the Event.
- The remaining balance is due 1 day prior to the Event date. If payment is not received before the Event start time, we reserve the right to cancel the Services for the Event. In such cases, the Client remains responsible for the non-refundable booking fee, and any additional cancellation fees as outlined in Section 6.
- Payments can be made by bank transfer or PayNow. For credit card payments, a 4.25% processing fee will be charged to the Client.
- All fees are quoted in Singapore Dollars (SGD) and are inclusive/exclusive of GST as stated in your quotation.
- Additional charges (e.g. overtime beyond the booked duration, extra prints, travel outside our standard service area) will be charged at the rates set out in your Booking Confirmation or as otherwise agreed.
6. Cancellation Policy
- The booking fee is non-refundable in the event of cancellation by the Client, under all circumstances.
- Cancellations made within 5 days of the Event date will result in the full package fee being due and payable.
- Any rescheduling of the Event date is subject to our availability and agreement in writing, and may be treated as a cancellation under this Section if requested within 5 days of the original Event date.
- Cancellation by Us. If we need to cancel a confirmed booking due to circumstances within our control, we will, at your option, either (a) provide a full refund of all fees paid, or (b) use reasonable efforts to arrange a substitute provider or reschedule at no additional cost to you.
- Approved refunds (where applicable under this Section) will be made to the original payment method within 14 business days.
7. Force Majeure
We are not liable for any failure or delay in performing our obligations under these Terms due to events beyond our reasonable control, including but not limited to acts of nature, strikes, equipment failure, war, terrorism, civil unrest, epidemic or pandemic, government restrictions, fire, or failure of public utilities (“Force Majeure Event“). If a Force Majeure Event prevents us from providing the Services, we will work with you in good faith to reschedule the Event, or provide a refund less any costs already reasonably and necessarily incurred by us, at our discretion.
8. Venue, Setup and Teardown
- The Client agrees to ensure a suitable, level space is available for the photo booth, with sufficient room and access for setup and teardown.
- Setup of the photo booth will begin 90 minutes before the agreed start time. Teardown will occur within 5 minutes after the agreed end time.
- The Client acknowledges that the photo booth requires a standard 13-amp electrical outlet and a stable working environment, to be provided within reasonable distance of the setup area.
- A table and 2 chairs (per booth) are to be provided by the Client or venue, unless otherwise agreed in writing.
- Any permits, licences, or approvals required for the Event or for our equipment/staff to operate at the venue (e.g. venue-specific vendor requirements) are to be obtained by the Client.
- Outdoor Events and Weather. If the venue is outdoors, the Client acknowledges that the photo booth may be shut down during the Event due to inclement weather (e.g. heavy rain, lightning/thunderstorm, strong winds, or other conditions posing a safety risk to equipment, staff, or Guests). If the photo booth is shut down for this reason, the Event will be treated as concluded for the purposes of these Terms, and all fees paid remain non-refundable.
9. Use and Care of Equipment
Our equipment (cameras, booths, printers, props, lighting, backdrops, etc.) remains our property at all times. The Client is responsible for any damage to or loss of the photo booth equipment caused by Guests or third parties during the Event, excluding normal wear and tear or damage caused by our own staff or equipment malfunction. The Client agrees not to interfere with the operation of the photo booth and to take reasonable steps to ensure the safety of Guests around the equipment.
10. Photo Booth Attendant, Staff Safety and Guest Conduct
- A professional photo booth attendant will be present throughout the Event to assist Guests and ensure the smooth operation of the booth. The number of crew provided will depend on the Services booked.
- The Client acknowledges and agrees that our staff are entitled to a safe and respectful working environment. The Client commits to ensuring that all individuals at the Event, including Guests and other vendors, treat our staff with courtesy and respect.
- If we determine, in our reasonable judgment, that our staff are being subjected to harassment or mistreatment during the Event, we reserve the right to cease Services immediately without refund, and may pursue legal remedies as necessary.
- Separately, our staff reserve the right to refuse service to, or remove from the photo booth area, any Guest whose conduct is unsafe or involves illegal activity.
11. Intellectual Property and Use of Images
- We retain ownership of all copyright and other intellectual property rights in the photographs, videos, booth software, templates, overlays, and branding created or used in providing the Services, except as expressly licensed below.
- Upon full payment, the Client and Guests are granted a non-exclusive, royalty-free licence to use, print, and share the photos/videos from the Event for personal, non-commercial purposes.
- The Client grants us permission to use Event photos for our own promotional purposes (e.g. social media, portfolio, website), unless otherwise specified in writing prior to the Event.
- This Client-level permission is separate from, and does not replace, the notice and opt-out mechanism given to individual Guests under our Privacy Policy — since the photos are personal data belonging to each Guest, we give Guests their own opportunity to opt out at the point of the Event, regardless of the Client’s permission above. The Client agrees to assist us in providing this notice to Guests as described in our Privacy Policy.
12. Photo/Print Quality and Technical Limitations
While we take reasonable care to ensure high-quality output, photo and print quality may be affected by factors outside our control, including venue lighting conditions, guest behaviour, or third-party printing/paper stock limitations. Digital galleries, where provided, will be made available for a period of 30 days from the Event date, after which we are not obligated to retain or provide further access, subject to our Privacy Policy on data retention.
13. Limitation of Liability
- To the fullest extent permitted by law, our total aggregate liability to the Client arising out of or in connection with the Services, whether in contract, tort (including negligence), or otherwise, shall not exceed the total fees paid by the Client for the Event in question.
- We shall not be liable for any indirect, incidental, special, or consequential loss or damage, including loss of profits or loss of opportunity, arising from or in connection with the Services.
- Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, or for any other liability that cannot be excluded or limited under Singapore law.
14. Indemnity
The Client agrees to indemnify and hold us harmless against any claims, losses, damages, or expenses (including reasonable legal costs) arising from (a) the Client’s breach of these Terms, (b) any personal data of Guests the Client provides to us without the necessary consent or authority, or (c) any unlawful or unauthorised use of our Services or intellectual property by the Client or Guests.
15. Insurance
We maintain public liability insurance in respect of our operations. Details are available upon reasonable request.
16. Termination
We may terminate a confirmed booking with immediate effect, by written notice, if the Client fails to make payment in accordance with Section 5, or breaches any material term of these Terms.
17. Governing Law
This agreement is governed by and construed in accordance with the laws of Singapore, and the parties submit to the exclusive jurisdiction of the courts of Singapore.
18. Agreement Modification
Any changes to this agreement, or to a confirmed Booking Confirmation, must be made in writing and agreed upon by both parties.
19. General Provisions
- Entire Agreement. By accepting the quotation, the Client agrees to abide by these Terms. These Terms, together with the Client’s Booking Confirmation and our Privacy Policy, constitute the entire agreement between the Client and us regarding the Services.
- Severability. If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
- Assignment. The Client may not assign or transfer its rights or obligations under these Terms without our prior written consent. We may engage subcontractors to perform the Services.
- No Waiver. Failure by either party to enforce any provision of these Terms shall not be deemed a waiver of that provision.
- Third Party Rights. Except as expressly stated, a person who is not a party to these Terms has no right under the Contracts (Rights of Third Parties) Act 2001 to enforce any term of these Terms.
